These Terms and Conditions apply to all bookings made with Chill Out Travel & Tours, SRL (“the Company,” “we,” “our,” or “us”). By booking any tour, package, transfer, excursion, or travel service with us, you (“the Client,” “Traveler,” or “Guest”) agree to the following terms.

1. Booking and Payment Terms

1.1 Deposit

A deposit is required to confirm any reservation.

Standard bookings require a deposit of 50% of the total trip cost, unless otherwise specified.

Some hotels, excursions, or special events may require a higher deposit or full payment at the time of booking.

Bookings are not confirmed until the deposit has been received and written confirmation has been issued by the Company.

1.2 Final Payment

The remaining balance must be paid no later than:

  • Vacation packages: 30 days before arrival

  • Group trips: 45 days before arrival

  • Excursions and transfers: 7–14 days before service

  • Last-minute bookings: Full payment required

Immediate full payment may be required for bookings made within the final payment window.

Failure to complete payment by the due date may result in cancellation of the booking and loss of deposit.

1.3 Late Bookings

Bookings made:

  • Within 14 days of travel may require full payment at the time of booking.

  • May be subject to availability limitations and price adjustments.

1.4 Payment Methods

We accept the following payment methods:

  • Credit or debit cards

  • Bank transfers

  • Online payment links

  • Approved online payment platforms

  • Other payment options specified by the Company

All transaction fees, bank charges, or currency conversion fees are the responsibility of the client unless otherwise stated.

1.5 Pricing and Surcharges

Prices may change due to factors beyond our control, including:

  • Fuel costs

  • Taxes or government fees

  • Exchange rate fluctuations

  • Supplier price changes

  • Seasonal demand or event-based pricing

2. Refunds and Penalties

2.1 Cancellation by Client

Cancellation requests must be submitted in writing via email or official communication channels.

Vacation Packages / Group Trips

  • More than 30 days before travel: Deposit may be partially refundable depending on suppliers.

  • 15–30 days before travel: Up to 50% of total booking cost may be charged.

  • 7–14 days before travel: Up to 75% of total booking cost may be charged.

  • Less than 7 days before travel or no-show: No refund.

Tours, Excursions, and Transfers

  • 48+ hours before service: Full or partial refund depending on supplier policy.

  • Less than 48 hours: Non-refundable.

Some services such as special events, peak-season reservations, or private group arrangements may be non-refundable.

2.2 Refund Processing

Approved refunds will be processed within 7–30 business days depending on payment providers and suppliers.

We reserve the right to issue refunds at our discretion in extraordinary circumstances.

If a client is unable to participate in a trip, tour, or excursion due to illness or injury, a valid medical certificate must be provided to be eligible for a full refund.

All approved refunds will be processed via PayPal.

Taxes are non-refundable, and the client is responsible for any applicable platform fees, transaction costs, exchange rate fees, or commissions associated with the refund process.

3. Changes to Bookings

3.1 Changes Requested by Client

Requests to modify bookings may include:

  • Travel dates

  • Hotel changes

  • Tour or excursion changes

  • Airport transfers

  • Passenger information

  • Number of travelers

Changes are subject to:

  • Availability

  • Supplier policies

  • Administrative fees

  • Price differences

The Company may charge a service modification fee.

3.2 Changes by the Company

The Company reserves the right to modify:

  • Hotels or resorts

  • Tour schedules

  • Transportation providers

  • Activities due to operational or safety reasons

If significant changes occur, we will offer one of the following:

  • A comparable alternative

  • Credit toward another service

  • Refund where applicable

4. Cancellation by the Company

The Company reserves the right to cancel a booking due to:

  • Force majeure (weather events, natural disasters, pandemics, government restrictions)

  • Safety concerns

  • Insufficient participants for group tours

  • Supplier cancellations

  • Circumstances beyond our control

In such cases, we may offer:

  • Alternative services

  • Travel credit

  • Partial or full refund depending on supplier policies

The Company is not responsible for additional costs incurred such as flights, visas, insurance, or personal expenses.

5. Payment Protection

To protect both the client and the Company:

  • Payments may be processed through secure payment gateways.

  • Funds may be partially allocated to third-party suppliers such as hotels, transportation companies, and tour operators.

  • Travel insurance is strongly recommended to protect against unexpected cancellations, illness, or disruptions.

The Company is not a financial institution and does not guarantee refunds outside supplier policies.

6. Travel Information and Client Responsibilities

Clients are responsible for:

  • Ensuring passports and travel documents are valid

  • Obtaining visas if required

  • Following destination entry requirements

  • Complying with health and vaccination requirements

  • Arriving on time for tours, transfers, and activities

  • Providing accurate travel information

The Company is not responsible for denied boarding, immigration issues, or missed services due to client delays or missing documentation.

7. Tour and Holiday Information

We strive to ensure that all descriptions, itineraries, and promotional materials are accurate.

However:

  • Hotels may change amenities or policies

  • Tour itineraries may vary due to weather, operational changes, or safety conditions

  • Images are for illustration purposes only

Exact details will be confirmed prior to travel whenever possible.

8. Airport Transfers

8.1 Arrival Transfers

Clients must provide accurate flight details including:

  • Airline

  • Flight number

  • Arrival time

  • Terminal

Our team monitors flight arrivals; however:

  • Delays should be communicated whenever possible.

  • If flight information is incorrect or missing, the Company is not responsible for missed transfers.

The Company is not responsible for missed transfers or tours due to late arrival or personal delays.

8.2 Waiting Time Policy

Private transfers include a waiting period after flight arrival.

Excessive delays or failure to appear may result in a no-show fee.

8.3 No-Show Policy

If the traveler does not appear at the designated meeting point within the allowed waiting time and no communication is received, the service may be marked as no-show and non-refundable.

9. Excursions and Activities

Participation in excursions is voluntary and may involve physical activity and certain risks.

Clients must:

  • Follow safety instructions

  • Respect local laws and regulations

  • Inform us of medical conditions that may affect participation

Some excursions may have:

  • Age restrictions

  • Pregnancy restrictions

  • Health requirements

  • Weight or safety limitations

The Company reserves the right to deny participation if safety guidelines are not met.

By joining any excursion, tour, or activity, the client acknowledges and accepts the inherent risks associated with these experiences.

The Company shall not be held liable for injuries, accidents, losses, or damages that may occur during participation.

10. Weather Policy

Weather conditions in tropical destinations such as Punta Cana may change rapidly.

Excursions may be:

  • Delayed

  • Rescheduled

  • Modified

  • Cancelled for safety reasons

If a tour is cancelled due to weather:

  • Clients may reschedule, or

  • Receive credit or refund depending on supplier policy.

Light rain typically does not result in cancellations.

11. Hurricane Policy

The Caribbean hurricane season typically runs from June through November.

In the event of:

  • Hurricane warnings

  • Airport closures

  • Government safety orders

  • Resort evacuations

The Company will work with clients and suppliers to:

  • Reschedule services

  • Provide travel credit

  • Adjust itineraries where possible

Refunds depend on:

  • Supplier policies

  • Hotel rules

  • Force majeure conditions

We strongly recommend purchasing travel insurance covering weather disruptions.

12. Resort and Hotel Coordination

The Company may assist with:

  • Itinerary organization

  • Resort reservations

  • Guest services coordination

  • Excursion scheduling

  • Transportation arrangements

However:

  • Hotels and resorts operate independently.

  • The Company is not responsible for hotel service quality, room conditions, or resort policies.

  • Any complaints related to hotel services must be addressed directly with the resort during the stay.

13. What Is Not Included

Unless explicitly stated in writing, the following are not included in travel packages:

  • International flights

  • Travel insurance

  • Personal expenses

  • Tips or gratuities

  • Optional tours or upgrades

  • Spa services

  • Room service

  • Additional hotel charges

  • Visa fees

  • Meals not specified in the itinerary

  • Early check-in or late check-out fees

  • Baggage fees

  • Medical expenses

  • Activities not listed in the package

14. Liability Disclaimer

The Company acts as an intermediary between clients and third-party service providers such as hotels, transportation companies, and excursion operators.

We are not liable for:

  • Personal injury

  • Property loss

  • Delays or cancellations by suppliers

  • Weather-related disruptions

  • Acts of government authorities

  • Events outside our control

Participation in tours and activities is at the traveler’s own risk.

15. Force Majeure

The Company shall not be held responsible for failure to perform obligations due to events beyond reasonable control, including but not limited to:

  • Natural disasters

  • Hurricanes

  • Pandemics

  • Government restrictions

  • Airport closures

  • Civil unrest

  • Transportation disruptions

16. Privacy and Data Protection

Client information will be used solely for booking, travel coordination, internal database management, and communication purposes.

Personal data will not be sold or shared, except with suppliers necessary to complete travel arrangements.

17. Acceptance of Terms

By confirming a booking with Chill Out Travel & Tours, SRL, the client acknowledges that they have read, understood, and agreed to these Terms and Conditions.
